When you book or use our grooming services, we may collect:

• Appointment and grooming history

We do not collect or store customer addresses, email addresses, health information or payment card details.

Why we use your information

We use this information to:

• Arrange and manage grooming appointments
• Maintain a record of your dog's grooming history and requirements
• Contact you about your appointments
• Send appointment confirmations, reminders and other service-related notifications
• Provide a consistent grooming service for your dog

Our primary lawful basis for processing this information is that it is necessary to provide the grooming services you have requested.

We may also retain limited information where necessary for our legitimate business interests or to meet legal obligations.

Appointment notifications

We may use your telephone number to send appointment confirmations, reminders and other messages directly related to your appointments.

These are service messages and are not marketing messages.

SMS messages are delivered on our behalf by The SMS Works. Your telephone number and the information required to send the message are provided to The SMS Works for this purpose.

We do not use your telephone number to send promotional marketing messages unless we have an appropriate lawful basis to do so.

Photographs

We may take photographs of your dog to help maintain a record of their grooming and as a reference for future appointments.

Photographs may also be used on Grooming by Lucy's website or social media accounts where you have agreed to this.

You can choose not to allow photographs of your dog to be published or used for promotional purposes. You can change this preference at any time by contacting Lucy.

How your information is stored

Customer, dog and appointment information is stored securely in our customer and appointment management system.

Access is restricted to authorised users, and we take appropriate technical and organisational measures to protect the information we hold.

How long we keep your information

We normally retain customer, dog and appointment records for up to three years after your last appointment or interaction with Grooming by Lucy.

Information may be deleted earlier where appropriate or retained for longer where we have a legal obligation to do so.

Customer and pet records can be deleted from our system when they are no longer required.

Payments

Payments are processed using SumUp.

SumUp processes payment and card information directly. Grooming by Lucy does not receive or store your card number, card security details or other payment credentials.

SumUp is responsible for the payment-related personal information it processes in accordance with its own privacy policy.

Who we share information with

We do not sell your personal information.

We only share personal information with third parties where it is necessary to provide our services. This currently includes:

• The SMS Works – to deliver appointment confirmations, reminders and other service-related SMS messages.
• SumUp – to process customer payments.

We may also disclose information where we are legally required to do so.

Your rights

Under UK data protection law, you have rights relating to your personal information. Depending on the circumstances, these can include the right to:

• Ask what personal information we hold about you
• Ask us to correct inaccurate information
• Ask us to delete information we no longer need
• Restrict or object to certain uses of your information
• Request a copy of information you have provided to us
• Withdraw consent where we rely on consent
